How to modify a floor plan we made for you.

After the ExpoFP team creates your interactive floor plan, you then get access to the Designer  to modify the layout. While our team takes care of complex revisions, organizers should make basic floor plan modifications themselves. With our user-friendly Designer tools, you and your teammates will have full control over your event and can apply any changes at any time.

Adjusting grid

Before you make any changes, we suggest choosing the grid size — 0.1, 0.5, 1, 2, 5 or 10. You'll find this window at the bottom right corner of the Designer, next to the chat button.

A larger grid size will help you align bigger objects, while a smaller grid is helpful to align elements with better precision.

Using basic tools

The Select tool allows you to drag your mouse over one or more objects to select them.

The Pan tool lets you click and drag to move objects around the grid.

This tool will Undo/Redo a movement. (Shortcuts: Ctrl + Z and Ctrl + Y)

Working with booths

How to add and edit a booth

To add a new booth, click on the arrows on the existing one. The new booth will be named in sequential order, perfectly aligned and have the same color scheme, type, size and price.

You can also click on the grey booth tool in the top left corner and drag it anywhere on the floor plan. A default booth is 10 x 10 ft (3 x 3 m). Click on the booth to move it or resize it. You'll also see the pop-up window on the left with booth properties, where you can rename a booth, assign its type, and add a price or an exhibitor to it

How to search for a booth

The search bar allows you to search for one or multiple booths by name, and they will be highlighted.

How to set booth prices and types

If you want to use the floor plan for online booth reservation and/or to collect payments online, you can set prices for booths, sponsorships and extras and use booth types.

Where to see the booth statistics

You can see how many POIs you have on your floor plan, including regular and irregular booths and a drop-down of Available, On Hold and Reserved booths. Click Statistics on the toolbar at the top:

Working with stages and other spaces

Other spaces are used for stages, conference rooms, food courts, etc. They cannot be assigned to (or reserved by) exhibitors but can show descriptions and schedules.

You can move and resize the stage in a similar way to booths. To add/edit a description or a schedule, click on the space, then on Enter description in its properties. You can edit the text and hyperlink it if needed.

Locking objects

You can lock objects to avoid accidental changes. Select the object and click Lock selected elements on the toolbar at the top.

To unlock it, click Unlock all or double-click the object.

Editing non-clickable elements

Background shapes (or figures) are used to outline halls, pavilions, walls, columns, etc. 

Click on the object to resize it, move it or edit the dimensions in object properties. Similarly, you can drag and resize icons and logos.

Text is usually used to identify pavilions, parts of the venue (lobby, pre-function, hall 1, etc.) and booth legends. Event dates and venue names can also be done as text or, if it's a part of the logo, our team can make these changes for you. Click on the text to move it or change its size and font.

Version history

Don't forget to save your progress by hitting the Save button. All versions are saved, and you can return to a previous version anytime by clicking the round arrow next to it. Hover over the version history to see the email of the teammate who saved this version.

What if I can't see or select an object in the Designer?

All the objects in our Designer are created under a specific layer. Each layer has its own functionality (for booths, images, background shapes or wayfinding). Sometimes, especially with multi-level floor plans, some layers can be hidden or locked to avoid displaying all elements at once and making accidental changes. So in most cases, if you can't see an object, it's on the hidden layer, and if you can't select it, another layer is covering it or the object's layer is blocked.

Here is what you can do:

1. Click on the arrow next to Layers & elements to expand all the layers:

2. Find the layer you need (their names correspond to the levels you see on the front view). Alternatively, click on the eye icon to make them all visible in turn until you find the one you need.

  3. If the layer is locked, unlock it.

Done! Now, you can see and edit all the objects within this layer.

Assigning and reassigning exhibitors to booths

Adding exhibitors (individually, via Excel template or via API), deleting them, and assigning and reassigning exhibitors to booths should be done by the organizers themselves.

Important things to consider

While we encourage involving teammates to collaborate on the event, simultaneous work in the Designer should be avoided; otherwise, teammates will overwrite each other's progress. In a similar way, teammates shouldn't work on importing exhibitors (via Excel or API) and on the Designer. If booth assignments differ, the Designer will be a source of the truth and, when saved, will rewrite any other changes made. We're currently working on improving it.

Note that if the blue dot provider (Crowd Connected®, IndoorAtlas®) is involved in the event, the viewbox and the area map should NOT be changed. They are usually under a locked "area map" layer. Any changes will significantly impact blue dot integration.

Optional modifications

While changes to the floor plan described above should be done by organizers, your control over it doesn't end here. You can edit booths in bulk, add more logos, create irregular background shapes, highlight your sponsors on the floor plan etc.
