Digital navigation with You Are Here QR codes, GPS and IPS.

In this article, you can find tips on how to properly set up the navigation system for your floor plan. We provide the following features:

  • GPS and IPS

  • You are here QR codes

  • Bus tracking

GPS and IPS

First of all, to help your attendees navigate the venue, we recommend drawing wayfinding on the plan. After you set it up, you can make navigation even easier by enabling services that define the user's location: GPS (Global Positioning System) and IPS (Indoor Positioning System). To do this, go to Floor plan settings and check the box "Enable blue dot via GPS". After that:

  • Choose "GPS only" for outdoor events

  • Choose "GPS/IPS from 3rd party" for indoor or partially indoor events

You are here QR codes

You Are Here QR codes from ExpoFP can help your attendees see their location in the venue and navigate to their destinations using wayfinding. This feature is offered at no additional cost to any subscription and doesn't require setting up an Indoor Positioning System (IPS).


Unlimited codes can be printed out and placed in the aisles, at the registration desk or even outside the venue to help find the way to the expo hall. They can also be used, without needing to be printed, as starting locations for driving traffic to your sponsors

How You Are Here works

Attendees can scan the codes, which will open the floor plan and show their position as a blue dot. Next, they can choose their destination by clicking on an object or searching for an exhibitor name in the search field.

If they search for a company and press Directions shortly after scanning the You Are Here QR code, the route will be s

hown instantly.

How to set up You Are Here QR codes at the event

First, go to Integration - You Are Here (make sure your floor plan has an active subscription).

Enter the number of codes you need and click Generate. The codes will be downloaded as a zip file. Unzip the file, and either print out the codes as they are, or first add them to your own "You Are Here" posters. Save the passcode — you'll need it to set the locations of codes at the venue.

When at the venue, download the ExpoFP You Are Here app, sign in using the passcode and follow the instructions on the screen.

  1. Place a You Are Here QR code printout

  2. Within the app, click Set QR code location and scan the code

  3. Move the pin on the floor plan and set it to the code's position

  4. Click Save location

To change or remove the position, click on the pin once again.

How to setup You Are Here QR codes before the event

Although the You Are Here codes are designed to work as previously discussed, you can also generate QR codes in advance and add them to the floor plan in the app without being present at the venue. To do this:

  1. Generate the codes and download the app

  2. Print out the codes or open them on your computer

  3. Within the app, for each code click Set QR code location and scan the code

  4. For each code, move the pin on the floor plan and set it to the location where the code will be displayed

  5. Click Save location

  6. At the venue, put up the code printouts at the appropriate locations

Please note that because the codes are so visibly similar to each other, you will have to take precautions to ensure that each code placed at the venue is the correct one for each location. Testing each You Are Here QR code once you have placed it at the venue is recommended.

Bus tracking

Shuttle buses are often essential for big events to get people to and from the venue. Now with ExpoFP's new bus tracking feature, attendees can open the event map and see exactly where the shuttles are in real time.

Bus tracking is available for an additional fee. If you have shuttles for your event and would like to add bus tracking, please contact us with your bus route information.

Then, have your shuttle drivers download ExpoFP Tracker from the app store.

Once downloaded, have them log in to the desired floor plan using the six-digit passcode you will find in Integration - You Are Here. They will then select a route and press Start GPS Tracking. The app will automatically track the buses and upload their locations to the event map where they can be seen by organizers and attendees.

View live

To check how the navigation and floor plan in general work, use the View live button. It can be found on the Dashboard .

It will let you see the floor plan exactly the way your attendees will see it.
