Editing Exhibitor Profiles

How galleries, videos, and brochures can be added to exhibitor profiles.

Attendees can view exhibitor profiles when they click on the booth or company name in the exhibitor list. Complete profiles help visitors better understand company products and services and drive exhibitor-attendee engagement.

How to fill in company details

Exhibitors can manage their profiles themselves using their Exhibitor Portal. As an organizer, you can also add and edit their profiles.

First, exhibitors can show their company name, assign themselves to categories, and write a company description. You can limit the number of characters on the exhibitor's description in Event Settings - Exhibitor Portal. It's also possible to set descriptions in a second language, which will be selected according to the browser's language.

Other available fields:

  • Company location

  • Website link and social media

  • Company email and phone (displayed on the plan)

  • Contact name, email, and phone (not displayed on the plan, for event-related communication only)

To add a new exhibitor's details, go to the Exhibitors page, click +Add new, and fill all the fields you need.

For an existing exhibitor, click on the exhibitor on the same Exhibitors page. You will be redirected to the page with all the exhibitor's details. Then, click Edit profile.

How to use AI to fill out the exhibitor profile

Exhibitors can save time by using the "Autofill Profile with AI" feature through the Exhibitor Portal. This is available to organizers on the Exhibitors  page. To use this feature, simply enter the company website and click the autofill button.

  • AI will scan the most relevant pages of the site and attempt to fill in details such as company name, description, contact information, social links, logo, and category.

  • Only empty fields will be updated — any information entered manually will remain unchanged.

  • After autofill completes, fields updated by AI will be marked with a star.

  • While most data is taken directly from your website, some values (like the description) may be summarized by AI.

How to add media to exhibitor profiles

All the media listed below can be uploaded to the profiles the way as company details: Exhibitors page > Click on the exhibitor > Edit profile button.

Logo

The company logo is displayed next to its description. If you upsell the Logo in Booth and the Logo in Header sponsorship options, these logos will also be pulled automatically from profiles.

We recommend using logos in JPG and PNG formats, up to 100 KB in size, and 600x400 resolution.

Leading image

The leading image is displayed at the top of the profile and can be linked to a webpage.

Image galleries

Exhibitors can upload an unlimited number of images to the gallery section. Images are automatically rotated and can be expanded to full screen.

We recommend using images in JPG and PNG formats, up to 300 KB in size, and 1200 x 900 resolution.

Videos

Videos can be embedded as YouTube or Vimeo links. They start playing automatically, on mute by default, when an attendee clicks on the exhibitor profile.

Brochures

Brochures or marketing materials can be uploaded as PDF files to the profiles.

Link exhibitor profiles from other systems

If you use different exhibitor management systems and have their profiles there, you can push the data to us via API. However, depending on your use case, you may only store all the data in a third-party system. Action buttons can link the profiles to the exhibitors on the floor plan, taking attendees back to the event website or app.

How to add action buttons to exhibitor profiles

Action buttons are clickable options with custom text and links displayed in the exhibitor profile. Although they can be used for anything, they are useful for showing demos, linking to online stores, or exchanging contact information.

Exhibitors can add up to three action buttons to their profiles by adding them to the bottom fields on the Edit Profile page in their Exhibitor Portal (if the listing level allows it).

If you need to add the buttons yourself, as an organizer, you can do it the same way: Exhibitors page > Click on the exhibitor > Edit profile button.

Enhancing exhibitor profiles

Featured Listings are shown at the top of the exhibitor list, along with every matching search or category. You can also upsell them to generate extra revenue.

Restricting fields in the profiles

You can offer different sponsorship tiers for exhibitors and restrict access to any fields using listing levels.

Can I import action button links using an Excel file?

Yes, action buttons can be imported via Excel. You can export the text and links to the existing buttons, update them, and import the file back.
