Floor plan creation: requirements and timeline

Necessary components and timeframe for ExpoFP to create a floor plan for you.

Requirements for files

We can generally work with any common file type (even hand-made drawings) as long as the booth sizes and numbers are all there. However, the DWG file is always preferred. For shows with more than 500 POIs, the DWG file is required. Contact us if your case is different.

Other requirements are:

  • Any file should have the outlines of the rooms, halls, as well as restrooms and other elements.

  • DXF/DWG files should have booths as polylines or polygons.

  • Booth labels/ID on one layer within the polygon to which they are attached to. Other numbers or texts should be on a separate layer.

  • Total number of booths on the floor plan

  • DWG file of the venue (preferred). It is usually provided by the venue upon request.

  • Event (background) logos should be in high-quality SVG, PNG or JPG format. The image shouldn't exceed 4096 pixels.

  • Event branding guidelines, color scheme and fonts (if any)

  • Event website and dates

Timeline for a plan creation

The floor plan design is usually done within 5–7 business days when ordered at least 3 weeks before the event or launch date. Floor plans over 1000 POIs, with multiple halls/levels or enhanced design features, are due at least 5 weeks in advance and created in 10 business days. Urgent requests outside these timelines are possible with extra fees — please contact us to confirm.

Modifying floor plans after delivery

After the floor plan is delivered, the basic booth changes, such as adding, moving, renaming, resizing, and deleting, should be done by your team. It is very simple to do in the Floor Plan Designer; you can see the instructions in our tutorial. The ExpoFP team will handle more complex changes (five revisions are included).

The final floor plan draft should be submitted to ExpoFP no later than 7 days prior to the event date in order to have enough time for testing. Any work requested to be done on weekends will result in an extra charge.

We deliver the changes within 1–3 business days, depending on the scope of work and event dates. We always prioritize events that start sooner.

After your event has passed, you can clone your event along with the design to reuse for the next year.

Standard vs Enhanced Design

To accommodate various use cases and budgets, we differentiate between Standard and Enhanced Design.

Standard Design

With the "Standard Design," our team creates beautiful floor plans with custom colors, an event logo, one building on one floor/level and a map of the surrounding area. The floor plan is ready to use for event visitors and for booth reservations. The Standard Design is suitable for most event organizers who do not have many customization requirements and whose events consist of mostly (more than 90%) rectangular non-rotated POIs.

Enhanced Design

If you want more details, branding and customization than in the Standard Design, or if your event has more than 10% non-rectangular or rotated POIs, then it requires more work from the ExpoFP team to design such a floor plan.
