Floor Plan Design by ExpoFP: Requirements and Timeline

Necessary components and timeframe for ExpoFP to create a floor plan for you.

In this article, you can learn about requirements and timeline for both Standard and PRO designs.

File requirements

We typically work with DWG or DXF files for both the floor plan layout and the venue to achieve the best result. These files are usually available from the venue upon request.

If you don't have access to DWG/DXF files, we can use PDFs or other common file types — just contact us to confirm.

Additional requirements:

  • The file should have the outlines of the rooms, halls, restrooms, and other elements.

  • In DWG/DXF files, booths should be drawn as polylines or polygons.

  • Booth labels/ID should be on the same layer as the corresponding booth shape. Other numbers or texts should be on a separate layer.

  • The total number of booths should be included on the floor plan.

  • Event (background) logos should be in high-quality SVG, PNG, or JPG format. The image shouldn't exceed 4096 pixels.

  • We need to receive event branding guidelines, color scheme, and fonts (if any).

  • We also need the event dates and a link to the event or company website.

Timeline for a plan creation

The floor plan design is usually done within 7–10 business days when ordered at least 3 weeks before the event or launch date.

Floor plans over 1000 booths, with multiple halls/levels or PRO Design features, are due at least 5 weeks in advance and created in 10–14 business days.


Floor plan designs based on files that are missing details (such as booth numbering, layers, or branding) or require major rework may take up to 14 business days. Our team will notify you if this applies

Requests outside these timelines are possible, but will incur a 20% urgency fee. Urgent revisions are typically applied within 2 business days. Any work requested to be done on weekends will result in an extra charge.

Modifying floor plans after delivery

While our team is working on your floor plan, the Designer  remains unavailable. Once the floor plan is delivered, you will have full access to it.


After the floor plan is delivered, the basic booth changes, such as adding, moving, renaming, resizing, and deleting, should be done by your team. These changes are very easy to do in the Designer, and you can see the instructions in our tutorial.

The ExpoFP team will handle more complex changes. Five revisions are included for no additional fee. We ask that all complex changes are requested no later than 7 days prior to the event date in order to have enough time for testing.

We will deliver the changes within 1–3 business days, depending on the scope of work and event dates. We always prioritize events that start sooner.

After your event has passed, you can clone your event along with the design to reuse for the next year.
